Reservations Coordinator

Reporting to Manager, the Reservations Coordinator serves the needs of NTT DMC’s customers – internal and external. Duties will include Confirming and checking all reservations, taking action on any foreseeable problems efficiently. Enable our Tour Guide’s to arrive confidently at all booked services, aware that their reservations have been made appropriately, accurately and on time.


  • To actively contribute to the growth of the business by sending the reservations to providers on time.
  • Monitor email account as requested.
  • Sending reservations in a timely and efficient manner within 15 days in advance.
  • Sending reservations with final rooming list to providers at 7-10 days in advance.
  • Validations of all trips – ensuring that our tours are running on budget and appropriate services are booked and confirmed
  • Review trip budgets, make adjustments as needed and consult with appropriate stakeholders in the build out of new budgets.
  • Ensure accuracy of supplier invoices and coordinate with accounting team for processing.
  • Organize the accommodation considering ages, nationalities and special request from the passengers.
  • Sending Rooming list to hotels and operators.
  • Make sure that hotel/operators confirm every component of each itinerary.
  • Send an excel format to the Tour Guide running the trip in advance with services confirmed.
  • Insuring prompt response to Tour Guide’s, office staff and provider’s enquiries, including late and urgent requests
  • Coordinate with the suppliers regarding last minutes changes, and keep the Tour Guide’s and providers informed.
  • Contact suppliers and operators to book, confirm or provide information regarding tours reservations.
  • Emergency Phone: On a rotation program 24/7, responsible to have the phone and to solve problems and passengers needs at any time. Access to high speed Internet is a must
  • Other duties as assigned by Manager


  • Graduates from Tourism and Hospitality School/University are preferred
  • Computer skills
  • Good proficient in English both written and spoken
  • Familiarity with travel industry and regional geography desirable
  • Excellent communication skills, both written and verbal
  • Self-motivated, highly organized and result-orientated individual
  • Flexible and able to prioritize multiple tasks in a fast-paced work environment
  • Proficient in Microsoft Office
  • Strong team player with a positive and collaborative approach
  • Vocation qualification related to Travel/Tourism preferred
  • Honest and responsible

Face-to-face interview: You will be asked The process took 3 weeks. The first interview was over the phone with HR. The second interview was a face to face interview with the regional manager and director. Everyone was very friendly and helpful during the whole recruitment process. Informal interview: purpose is to assess culture fit.

Training: If you successfully complete the hiring process, you will be invited to attend training for 3 months.
